This Refund & Cancellation Policy governs all bookings, payments, visa processing fees, airline tickets, accommodation reservations, and related services offered by Ar Rahman Hajj Umrah Travels (“Company,” “we,” “our,” or “us”).

By booking any Hajj or Umrah package through us, you agree to this Policy.

Headings are for convenience only and do not affect the legal meaning of this Policy.

Definitions

Company, Refers to Ar Rahman Hajj Umrah Travels,
20 Nawab Abdur Rahman Street, Rafi Ahmed Kidwai Rd,
Kolkata, West Bengal 700016, India.

Pilgrim / Client / You – Any individual booking Hajj or Umrah services.

Package – Includes visa processing, airfare, hotel accommodation, transport, and related services.

Advance Payment – Initial non-refundable deposit paid to confirm booking.

Cancellation – Withdrawal from a booked package.

No-Show – Failure to travel or report without prior cancellation.

General Booking & Payment Policy

  • Booking confirmation requires payment of an Advance Payment.
  • Full payment must be completed before ticket issuance and visa processing deadlines.
  • Prices are subject to change due to airline fare revisions, currency fluctuations, or regulatory changes.

Advance Payment Policy

  • Advance Payments are generally non-refundable, as they secure visa slots, airline seats, and hotel reservations.
  • In limited cases, partial refunds may be processed after deducting actual expenses incurred.

Cancellation by Client

Before Visa Processing

  • If cancellation is requested before visa application submission, refund may be issued after deducting administrative and service charges.

After Visa Processing

  • Visa fees are non-refundable once submitted to authorities.
  • Service charges and processing costs will be deducted.
  • Refund amount depends on airline and hotel cancellation rules.

After Ticket Issuance

  • Airline cancellation charges will apply as per airline policy.
  • Refunds are subject to airline approval and timelines.

No-Show

  • In case of No-Show, no refund will be provided.

Hajj Package Special Conditions

  • Due to strict government regulations and limited quotas, Hajj package cancellations may attract higher cancellation charges.
  • Refund eligibility depends on Saudi authority regulations and service provider policies.

Cancellation by Company

The Company reserves the right to cancel a booking due to:

  • Government restrictions
  • Visa rejection
  • Insufficient minimum group size
  • Force majeure events (pandemics, war, natural disasters)

In such cases, refunds will be processed after deducting non-recoverable expenses.

Visa Rejection Policy

  • Visa approval is at the sole discretion of Saudi authorities.
  • In case of visa rejection:
    • Visa fees are non-refundable
    • Service and processing charges may apply
    • Refunds will exclude actual expenses incurred

Flight & Hotel Refunds

  • Airline tickets are governed by airline refund rules.
  • Hotel bookings are subject to hotel cancellation terms.
  • Refund timelines depend on third-party processing.

Force Majeure

The Company shall not be liable for cancellations, delays, or losses caused by:

  • Government decisions
  • Travel bans
  • Natural disasters
  • Epidemics or pandemics
  • Political unrest
  • Airline operational issues

Refunds in such cases depend on recovery from service providers.

Refund Processing Timeline

  • Approved refunds will be processed within 15–30 working days.
  • Refunds will be made via the original mode of payment only.
  • Banking delays are beyond Company control.

Non-Refundable Components

No refunds will be provided for:

  • Visa fees (after submission)
  • Government taxes
  • Service charges
  • Used services
  • Promotional or discounted packages
  • No-Show cases

Client Responsibilities

Clients must:

  • Provide accurate passport and personal details
  • Meet payment deadlines
  • Follow travel documentation requirements

Errors in documentation provided by the client may result in cancellation without refund.
